This article will show you how, as a user of the Corterum system, you can work with tasks to ensure that you're remaining compliant with SM&CR. Most tasks in Corterum will be assigned to you by an administrator, and you'll need to know how to view, manage and respond to tasks:
How do I see tasks assigned to me?
You can find tasks assigned to you in couple of ways:
The Notification section (click the bell at the top right hand corner of the menu:
The Dashboard (click WORKBENCH on the top menu bar, then click DASHBOARD. A list of your tasks (if any have been assigned to you) will be shown.
Keeping track of and searching tasks
We hope that our notification system will help you keep track of the tasks assigned to you. However, you may also want to regularly view all your outstanding and completed tasks. To do this as a user you:
Click ‘Workbench’ and then click ‘Dashboard’. This will bring up a table containing all outstanding tasks.
If you want to view tasks that you have previously completed, click the ‘Completed tasks’ box that is located to the right of the ‘Outstanding tasks’ box.
These holistic views may suffice if you do not have many tasks. If you do, however, it will be more efficient to use our filtering and search functions.
If you know the title of the task you are looking for, the most efficient way to find it is to type the title in to the search bar. This is located in the top right of the task management (‘My Tasks’) screen.
If you do not know the title, or you want to locate multiple tasks, you can filter them by alphabetical order, completion status, priority, deadline, date and by which user assigned the task(s).
To do this, click on the downward-pointing arrow next to the field that you want to filter by. This will bring up multiple additional sorting options (e.g. high, medium or low for priority). Click on the most appropriate one for the task you are trying to find. If done correctly, this should bring the task you are looking for close to the top.
Editing or updating tasks as a user
As a user, you can have two different types of tasks. You might have ones that have been assigned to you by an administrator or ones that you have created for yourself. Your ability to edit and update a task depends on which type it is.
If a task has been assigned to you by an administrator:
If an administrator has set you a task you may only alter its completion status. To do this you:
Click ‘Workbench’ and then click ‘Dashboard’.
Navigate to the task you want to update (see Keeping track of and searching tasks above for guidance).
Click the three dots next to the task you want to update and click ‘Open Task’.
Scroll down to the ‘Status’ field. Click the dropdown box and then select either ‘To Do’, ‘In Progress’ or ‘Done’ as appropriate.
Click ‘update’ and then ‘confirm’ to action the change in completion status. Click ‘Cancel’ if you have made a change in error.
If you mark the task as 'Done' an additional box will pop up to confirm you wish to mark the task complete, with a free text box for any comments you want to make.
Then click the 'Complete Task' button to confirm completion, or the Cancel button to return to the task info.
Once marked complete, your task will move to the Complete task section of your dashboard and you will no longer be able to edit it.
N.B. Always be aware of task notifications. Your administrator may update your task at any time. Any changes are likely to reflect essential FCA requirements.
If you have created a task for yourself:
Corterum allows users to create tasks for themselves, (see below). If you do this, your administrator cannot see the task you have created and you can edit its title, description, priority, deadline and completion status. To do this you:
Click ‘Workbench’ and then click ‘Dashboard’.
Navigate to the task you want to update.
Click the three horizontal dots next to the task you want to update and then click ‘Open Task’.
The ‘Update Task’ panel will open and you then modify each field as appropriate.
Click ‘Update’ at the bottom of the ‘Update Task panel’. Click ‘Confirm’ if you are happy with the changes you have made, or click ‘cancel’ if you are not.
Creating tasks
Corterum allows users to create tasks for themselves. These can serve as personal reminders to complete compliance actions. Only you can see these tasks, they are not sent to an administrator so can be a useful reminder for you alone.
To create a task as a user you:
Click ‘Workbench’ and then click ‘Dashboard’
Navigate to ‘My Tasks’ in the top left and then click the ‘plus’ icon.
A panel will open up. When it does, click on the ‘b’ box and assign a title to the task. We recommend you set a concise and actionable title.
Next, click the ‘Description’ box and summarise the task. Remember to be succinct but also to include enough information to facilitate compliance with FCA requirements.
After this, set a priority for the task. There are three options: ‘Low’, ‘Medium’ and ‘High’. The option you choose will determine the frequency and urgency of the notifications associated with the task.
You can = then set a deadline for the task if required. To do this, click on the ‘Deadline’ box. A calendar will open up- simply click on the date you want the task to be completed by.
Click ‘Create’ and then you are done.
