Workflows

Corterum has a powerful 'rules' engine that enables the system to understand when certain changes in data prompt necessary action by users or administrators, or when deadlines are approaching or overdue.

This 'rules' engine sees these 'triggers' and then responds by sending either an alert to the person that needs to see it, or an email, or both in some cases. Each rule is individually specified, so some will email, and others send alerts, depending on what action is required.

These rules are system generated, so users can't configure their own rules, but they are able to enable or disable rules to build their own customised automated alerts.

Some examples of rules in the system include:

  • An alert to administrators that a user's Fit and Proper Certificate is expiring in 1 month.

  • An alert that a change has been made to FCA Directory information:

  • An alert that some required information may be missing from a person entity that will block a complete Fit and Proper assessment.

The Workflow screen

To access the workflow screen you would:

  • Log into Corterum as an administrator.

  • Click on ADMINISTRATION in the top menu bar.

  • Then click on WORKFLOW in the menu on the left hand side.

  • You'll then see a screen with a list of rules.

  • This screen shows you:

    • The Title of the rule.

    • A description of what the workflow does and what action should be taken as a result of the alert (hover over the (i) information icon to see this).

    • A reference which directs you to the portion of the SM&CR that necessitates this rule (hover over the (?) information icon to see this)

    • Whether the workflow is Active or inactive.

    • Which roles are the Target Roles - i.e who is going to be receiving the alert.

  • Of these, the ones you can amend are:

    • Whether the Workflow is Active or not for your business (use the toggle under Active to enable or disable each workflow).

    • Which Target Roles are alerted to the workflow being triggered. (Choose the required groups from the dropdown list). For example, you may wish the workflow called Breach of Conduct Rules to trigger only for administrators.
