Quick-start guide

Follow our quick-start guide to get up and running with Corterum as quickly as possible.

Introduction

There are a few steps you need to follow to get you and your business ready to use Corterum. Firstly, though, it's important to understand the terminology that Corterum uses to organise information and processes about your business, your people and anyone you do business with:


COMPANY: This is the term Corterum uses to refer to the FCA-regulated businesses that you are managing under SM&CR - if you have multiple FCA-registered businesses, each one will be its own separate company.

ENTITY: This is the term Corterum applies to any 'thing' it holds data on or processes tasks for. Entities can be linked to one or more companies. Entities can be:

  • People: The staff members that you are administering under SM&CR.

  • Businesses:The organisations that you do business with - this is also where information about your own business(es) are stored.

  • Regulators: Information about regulatory bodies that your organisation interacts with.

DATASETS: This is how Corterum groups the information it holds about Entities. For example, Senior Manager Statements of Responsibilities are datasets. Think of them as the sheets of paper in the file that Corterum holds on a particular entity.

USERS: This is how Corterum refers to the people who will actually log in and use Corterum, anyone from administrators who look after all of Corterum, to individual users who will only log into Corterum to, for example, attest their own fit and proper status. Not all the people you administer under ENTITIES will need a user creating for them, just the ones who will need access to Corterum to interact with the information you hold about them. Users can be configured with specific access permissions as needed for what they need to do.


With all of that in mind - here are the recommended steps to get you up and running quickly and effectively on Corterum:

  1. Create your FCA-registered companies <LINK>. NB - when you sign up to Corterum, we automatically create your first company based on the information you tell us when you sign up. This step is only really needed if you need to create multiple companies to administer.

  2. For each company, create them as a ENTITY and add the SM&CR-relevant information about your company/ies in the ADMINISTRATION > ENTITIES section of Corterum.

  3. For each company, using the SM&CR DATASET, determine and record your firms SM&CR classification.

  4. For each company you have created as an ENTITY, using the Regulated Activities DATASET, record the regulated activities that your firm will be performing.

  5. For each company you have created as an ENTITY, using the Boards and Committees DATASET, record the boards and committees your firm has formed.

  6. For every member of staff, using the FREQUENTLY PERFORMED ACTIONS section of the WORKBENCH, create all of your staff members as PEOPLE ENTITIES in Corterum. NB - Once this process is complete, you can link your PEOPLE ENTITIES to multiple COMPANIES, so changes made to PEOPLE under one company will be seen across all linked companies.   7. For every Senior Manager in every company you have created as an ENTITY, create a Statement of Responsibilities DATASET - this will pull from the information previously entered when you created the ENTITY for your Senior Manager.

  8. Enhanced Firms only. If you are an enhanced firm, you should complete the MANAGEMENT RESPONSIBILITIES MAP.

Once all of these details have been entered, you and your team will be able to begin managing your firm and your people under SM&CR.
